September is the quiet high season for price rounds. Why a price round in a B2B shop is a discipline of its own

In field sales, a price adjustment can be explained in a phone call. In a B2B shop everything runs automatically, or it does not. That is exactly where the difficulty lies.

B2B buyers today expect full price and stock transparency in the online shop. They compare, check tiered prices and call up quotes without picking up the phone first. If the shop displays the wrong prices on the effective date, whether too low because a price list was forgotten or too high because of an incorrect assignment, confusion follows. In the best case the customer gets in touch. In the worse case the customer orders elsewhere. The core problem: price data grows faster than the structure around it

The real problem with price maintenance in a B2B shop is rarely the software. It is data structures that have grown over time. Over the years, customer-specific prices, special conditions, tiered prices and framework agreements build up side by side, often without a clear hierarchy.

Shopware (a widely used B2B shop system) and comparable platforms can handle price lists and customer-specific prices. But that flexibility has a price of its own: collisions. When a price list applies to a customer group while an individual price is stored for the same customer, the priority order in the system decides. 3. Schedule the effective date and price validity cleanly. Modern shop systems allow validity periods to be stored for price lists. This function should be used to control the changeover automatically instead of intervening manually at night. That way the price round in the B2B shop can be planned and tested against a clear date.

4. Separate open quotes and framework agreements. Quotes created before the effective date keep their price basis. This has to be documented cleanly, both technically and commercially. Framework agreements with fixed-price clauses must be treated separately and must not be overwritten automatically by the new price list.

5. Announce and explain the change through the shop and the customer portal. Existing customers should not learn about a price adjustment from the invoice. An announcement in the customer portal, by email and as an information banner in the shop creates transparency. A short, factual justification, such as increased raw material or energy costs, is accepted by B2B buyers as long as it arrives in good time.

A B2B price increase is not purely a calculation task. It only ends when the shop shows the right price to the right customer at the right time.
